To provide administrative and back-office support to Nine Edge Wealth's financial planners, paraplanners and clients, ensuring that cases move smoothly and accurately from first contact through to implementation and ongoing servicing. The IFA Administrator uses the day-to-day processing, provider liaison and record-keeping that sit behind the advice process, keeping client files accurate, complete and audit-ready - focusing on accuracy, efficiency and first-class client care.

Role Purpose
Key Responsibilities
— Client onboarding and data management
- Assist in Preparing and updating fact-finds, input and validate client data, and collate and organise documentation.
- Carry out ID, anti-money-laundering (AML) and verification checks in line with KYC and GDPR requirements.
- Maintain accurate, up-to-date client records on the back-office system (e.g. Intelligent Office / iO).
- Assist in new business from application through to investment — submitting applications and documentation to providers and platforms.
- Obtain illustrations, valuations and Letters of Authority (LOAs), and chase providers and third parties for outstanding information.
- Process updates and amendments and keep records accurate throughout the case.
- Track cases and monitor progress, deadlines and milestones through to completion.
- Prepare pre-meeting packs and valuations, schedule client reviews and organise follow-up actions.
- Support ongoing servicing tasks and respond to client queries clearly and professionally.
- Handle client and provider enquiries with clarity and care, maintaining confidentiality at all times.
- Liaise with advisers, paraplanners and compliance to deliver a smooth, joined-up client experience.
- Ensure administrative tasks meet FCA, Consumer Duty and internal standards, including AML and GDPR obligations.
- Support file completeness and audit-readiness, and contribute to process improvements where appropriate.

- Strong organisational skills with high attention to detail and accuracy.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office, with intermediate Excel skills and confidence using back-office systems.
- Ability to manage a caseload and work to deadlines, sometimes under pressure.
- Discreet and trustworthy when handling confidential client data.
- Previous administration experience within a UK regulated financial services or IFA environment.
- Experience with back-office systems such as Intelligent Office (iO).
- Progress towards an industry qualification (e.g. CII Certificate in Financial Services).
- Working knowledge of pensions, investments and protection products.
Organisation and accuracy; clear communication; client focus; systems and data literacy; regulatory awareness; discretion with confidential data; and effective collaboration within a busy advice team.
Renumeration and Reward
The package rewards accuracy, reliability and the quality of support provided to the advice team and clients. As a non-advising role, reward is tied to the standard and consistency of service rather than to a personal sales or fee-income target.
